New Silk Road Oil and Gas conducts large-scale extraction and processing operations that require continuous approval of technical documentation, supply contracts, acceptance certificates, and internal regulations. Paper-based document management between production sites and the head office led to delays in approving procurement documentation and created difficulties during internal and external audits.
Solution
The key complexity here was not so much the approval logic, but the scale and geographical dispersion — documents had to move equally fast both at the production site and in the head office. EdoLine was integrated into the company’s existing IT infrastructure, digitalizing the routes for supply contracts, acceptance certificates, technical and HR documentation. Special attention was paid to automatic reminders: the system itself notifies responsible persons when the approval deadline is approaching.
Result
A volume of over 5,000 documents monthly is now processed without bottlenecks at the junction of departments. Procurement documentation is approved more than twice as fast. An additional benefit came from the audit side: thanks to a complete audit trail for each document, preparation for internal and external audits ceased to be a rush job.
