Electronic Contract Approval

A contract no longer travels from desk to desk between legal, accounting and management. In EdoLine a contract is a dedicated document type with its own template, fields and route. The draft goes through every reviewer, is signed digitally and is kept in the contract log book with its complete history.

Contract lifecycle in EdoLine

  1. DraftCreated from a template or uploaded as a file.
  2. Department reviewLegal, accounting and the business owner.
  3. Management approvalFinal endorsement.
  4. Digital signatureE-IMZO signature of the authorized person.
  5. StorageThe contract is registered in the contract log book.

Setting up contract management

  • “Contract” document type — with its own template and numbering in the contract log book.
  • Contract fields — counterparty, amount, date, term and other fields are set up as a configurable form for the document type.
  • Route per type — a standing set of reviewers is attached to the “Contract” type.

Review by responsible departments

  • Reviewer comments — remarks from legal and accounting stay in the document history.
  • Return for rework — a reviewer sends the draft back to the author with a comment.
  • Change history — who worked on the contract, when and what they decided.
  • Approval sheet — attached to the contract automatically.

Signing the contract digitally

The approved contract is signed with an E-IMZO digital signature. Contracts from counterparties that arrive via Didox, Uzbekistan’s electronic document exchange operator, are approved inside EdoLine and signed without switching to the Didox interface. See the Didox integration for details.

Storing and finding signed contracts

  • Contract log book — every contract is registered under its own number.
  • Search — by title, number, date, status and counterparty.
  • Access rights — access to contracts is limited by roles and confidentiality level.
